Business Transformation Office (BTO) Analyst

The BTO Analyst is the operating engine of this function. The role owns the business trackers, runs the
review calendar end to end, converts operational data into management-ready reporting, and drives
action items to closure across both the Domestic and Export businesses. It suits someone who is
organised, comfortable with numbers, and willing to keep following up with senior stakeholders until the
work is actually done.
Key Responsibilities
1. Review Coordination
• Coordinate the fortnightly Domestic and Export Sales Review Meetings end to end — scheduling,
attendance and pre-read circulation.
• Prepare the meeting agenda, review presentations and Minutes of Meeting (MoM); circulate the
MoM within the agreed turnaround.
• Maintain a live action-item register from each review and drive items to closure.
2. Tracker Management
Own the accuracy, completeness and timeliness of the following business trackers:
Sales Dashboard Visit Tracker
Enquiry Tracker Project Pipeline Tracker
Dispatch Tracker Application Tracker
FRM Dispatch Tracker Export Call Log Tracker
NCR Tracker NPD Stage Gate Tracker
• Ensure every tracker is updated to the defined frequency and format.
• Validate entries for completeness, duplication and data consistency before they are used in any
review.
3. Follow-up & Monitoring
• Follow up with stakeholders across functions for pending inputs and updates.
• Track assigned action items against agreed due dates.
• Escalate overdue or blocked activities to the BTO Lead with the relevant background.
4. New Product Development (NPD) Coordination
• Maintain and update the NPD Stage Gate tracker.
• Coordinate the weekly NPD review meeting — agenda, deck and MoM.
• Track milestone completion, stage-gate movement and pending actions with the NPD team.
5. Reporting & Analytics
• Prepare weekly, fortnightly and monthly MIS reports for management.
• Analyse Plan vs Actual performance and highlight variances with reasons.
• Generate KPI reports, business performance summaries and trend views.
• Build and maintain review decks for management and leadership meetings.
6. Compliance Monitoring
• Verify that NCRs are logged within the defined timeline.
• Ensure Export Call Logs are updated by the responsible team members.
• Monitor FRM and DRM documentation for completeness.
• Run periodic checks on tracker hygiene and flag gaps to the BTO Lead.
7. Data Management
• Maintain accurate and structured business databases (customer, enquiry, dispatch, application).
• Ensure consistency of sales and operational data across systems and reports.
• Use Excel and reporting tools to generate insights, not just numbers.
8. Cross-Functional Coordination
• Work closely with Sales, Marketing, Application Engineering, Dispatch, Production, Quality and R&D.
• Collect, verify and consolidate the inputs required for management reviews.
• Act as the single point of contact for review-related information requests.
9. Process Improvement
• Identify data inconsistencies, duplication and reporting gaps at source.
• Recommend improvements to tracker structure, reporting formats and review flow.
• Support automation and digitisation initiatives — templates, dashboards and workflow tools.
Required Qualifications & Experience
• Graduate in Engineering, Commerce or Business Administration. MBA or PGDM is an advantage.
• Minimum 2 years of experience in the manufacturing sector, preferably refractories, cement, steel
or a comparable process industry.
• Prior exposure to MIS, business analytics, sales coordination, PMO or a transformation / review
office role is preferred.
Skills & Competencies
Technical
• Advanced MS Excel — pivot tables, lookups, conditional formatting and charting; comfort with large
data sets.
• MS PowerPoint — able to build clean, management-ready review decks.
• Google Workspace — Google Sheets and Google Slides for collaborative trackers and live
dashboards.
• Working knowledge of ERP / CRM data extracts is an advantage.
